Because "already works" and "can't be touched by whatever just infected your network" are two different things. Disk-based backups on local storage or NAS may still be reachable from the same environment your production machines use. Cloud backups can provide stronger isolation depending on how they are configured, but credentials and retention settings still matter.
A tape that was ejected last Friday and is sitting securely offline isn't reachable through the network. That's the main value proposition here. Not speed or convenience, but genuine physical separation from whatever might go wrong on the network side.
You don't need a large tape library, a SAN, or a dedicated backup server to do this on a small business scale. A single tape drive, with LTO being the standard technology worth considering, connected to one machine, backup software that can write to it, and a rotation of cartridges can be enough.
If your current setup already uses Handy Backup for your local, NAS, or cloud jobs, you're not starting from scratch. You're adding another destination and another task rather than rebuilding your backup strategy.
Before buying a drive, however, check that your backup software supports the exact hardware and workflow you plan to use. "Tape support" can mean different things depending on the software. A standalone drive is simpler than an autoloader, and features such as media management, libraries, or automated cartridge changes may require separate support.
For a small office, a standalone drive is usually the simplest place to start. You insert a cartridge, the scheduled job writes to it, and someone removes it afterward. If a backup fits comfortably on one tape and runs once a week, there may be little reason to add anything more complicated.
An autoloader starts making sense when backup jobs regularly use several cartridges, run overnight, or require more tape changes than staff want to handle manually. It can move cartridges into the drive automatically, but it also adds hardware, configuration, and media-management requirements.
The useful question is not how large your business is. Ask how often someone will have to touch the tape system. If the answer is "once a week," a standalone drive may be all you need.
The trick is to treat tape as an addition, not a replacement, so you're not touching the jobs that already work.
- Leave your existing daily or nightly jobs exactly as they are. Disk, NAS, cloud, or whatever you're running now stays untouched.
- Add a separate tape job that runs less often. Weekly is typical for a small office. It can protect the same data or only the parts you consider critical.
- Eject and store the tape somewhere physically separate from the production systems once the job finishes. For stronger disaster protection, keep at least some cartridges offsite.
That's it. You're not merging tape into your daily rhythm. You're layering it on top with a slower, separate cadence.
In many environments, yes. If your normal backup already writes to fast disk or NAS storage, tape can act as a second-stage copy instead of backing up every production file separately.
This approach keeps everyday restores fast because recent backups remain on disk. Tape becomes the copy you turn to if the primary backup storage is damaged, encrypted, deleted, or unavailable.
It also avoids creating two completely different backup routines. Your main backup still handles the daily work, while the tape task creates a removable copy on its own schedule.
Weekly is the sweet spot for many small offices. It's often enough that you're never very far from a clean offline copy, but not so often that cartridge management becomes its own chore.
If your data doesn't change much day to day, such as an office that mostly deals in documents rather than constant transactions, monthly copies may also have a role. Some businesses keep weekly tapes for recent recovery and selected monthly tapes for longer retention.
The one thing to avoid is rotating so rarely that your tape copy is effectively useless by the time you'd need it. A tape from six months ago won't help much if what you actually need is last week's files.
You also don't need to copy every backup generation to tape. Start with the recovery points the business would genuinely need and build the simplest rotation that satisfies that requirement.
Start with the amount of data you intend to put on tape and use the cartridge's native capacity when planning. Don't assume you'll always get the much larger "compressed capacity" shown in specifications.
Documents and some database data may compress well. Videos, photographs, encrypted backup files, ZIP archives, and already compressed data often will not.
Then account for rotation. If you want four weekly copies kept separately, you'll need enough media to maintain those four recovery points without immediately overwriting the previous one. Long-term monthly or yearly copies require additional cartridges.
The goal isn't to own a huge stack of tapes. It's to have enough that your rotation doesn't force you to erase a useful recovery point too early.
If you're buying tape equipment for the first time, the newest drive isn't automatically the best choice. Capacity, price, availability, and compatibility with existing media all matter.
LTO generations have specific rules about which older cartridges a drive can read and write. Current LTO generations do not all follow the same backwards-compatibility pattern, so don't assume a future drive will automatically read every cartridge you keep today.
For a new installation with no old tapes, this may not matter much at first. For long-term retention, it does. If you plan to keep tapes for many years, include eventual media migration or continued access to compatible hardware in your backup plan.
A handful of cartridges is easy to manage until nobody remembers whether "Tape 6" contains last Friday's copy or something from three months ago.
Give every tape a clear unique label and keep a simple record of when it was written, what backup or date it contains, where it is stored, and when it can be reused. Backup software with a tape catalog can make this easier, especially as the number of cartridges grows.
For a small setup, the system doesn't need to be sophisticated. It just needs to answer two questions quickly: "Which tape contains the backup I need?" and "Where is that tape right now?"
Taking a cartridge out of the drive is the first step. Keeping every tape next to the server is better than leaving it online, but it still leaves both production data and backups exposed to the same fire, theft, flood, or other site-level incident.
A simple rotation can keep one recent cartridge locally for convenience and another copy at a different location. That might be another office or a storage facility appropriate for magnetic media.
Also remember that a generic fireproof document safe isn't automatically designed to protect magnetic tape under the same conditions. If long-term physical protection matters, check the storage specifications rather than assuming any safe or fireproof box is suitable.
If tapes leave the office or contain sensitive customer or business data, encryption is worth considering. A lost cartridge should not automatically mean exposed data.
The important part isn't only enabling encryption. You also need to know where the password or encryption key is stored.
Don't keep the only usable key on the same backup server the tape is supposed to protect. If that server is lost in a ransomware incident or physical disaster, the tape may survive perfectly while the key needed to restore it does not.
Keep recovery information somewhere protected and accessible to the people who would actually handle a disaster recovery.
Tape isn't designed to compete with SSDs or NAS storage for quick everyday restores. That's why it works best as another layer behind your normal disk-based backup.
Restoring from an offline tape may involve locating the correct cartridge, retrieving it from another location, loading it into the drive, identifying the backup set, and then reading the required data. If a restore spans several tapes, physical media changes may add more time.
This doesn't make tape a bad backup. It means you should know which recovery situations it is meant to handle. Keep disk or NAS backups for fast day-to-day restores, and treat tape as the slower copy that remains available when those faster copies are no longer trustworthy or accessible.
A successful backup job tells you that the software completed the write operation. It doesn't prove that your recovery process works from beginning to end.
Occasionally take one of your normal rotation tapes and restore something from it. Start with a few files. From time to time, test something larger and make sure you know how to find the required backup, load the right cartridge, and recover the data.
If you encrypt tapes, include the encryption key in the test. If you keep tapes offsite, testing one after retrieving it from that location gives you a much more realistic picture of recovery.
A tape you've never actually restored from is still partly an assumption.
Tape cartridges can be attractive for long-term storage because the media itself can hold a lot of data without remaining powered or connected. But the drive and cartridges aren't the whole cost.
You'll also spend some time labeling tapes, swapping them, moving copies offsite, checking jobs, testing restores, and eventually replacing or migrating older hardware and media.
For a small business, this is another reason to keep the design simple. A weekly rotation that someone can understand and maintain may be more valuable than an elaborate retention scheme that saves a few cartridges but requires constant administration.

Leaving Tape Connected All the Time
Leaving the tape connected and available all the time weakens the main reason for having an offline copy. If the cartridge stays accessible to the backup environment indefinitely, you aren't getting the same separation you get from removing and storing it.
Using Tape as Your Only Backup
Tape works better as an extra layer than as your only backup. It is slower and less convenient for routine restores, so disk or NAS should normally handle fast recovery while tape provides an additional offline copy.
Not Tracking Your Cartridges
Poor media tracking can make recovery much harder. If you don't know which cartridge contains a particular recovery point, finding the right backup becomes more difficult at exactly the moment you need the process to be simple.
Ignoring Encryption, Capacity, or Compatibility
Avoid encrypting tapes without protecting the recovery key, assuming advertised compressed capacity is guaranteed, or keeping years of cartridges without considering whether future drives will still be able to read them.
Skipping Test Restores
A tape you've never restored from is a tape you're hoping works, which isn't the same thing as knowing it does. Periodic test restores help confirm that both the media and the recovery process work as expected.
