How HIDEN Uses Handy Backup Solution to Back Up and Synchronize Business Documents

Customer

HIDEN develops and manufactures uninterruptible power supply (UPS) systems and a wide range of power protection, energy management, and electrical infrastructure solutions for industrial facilities, commercial enterprises, data centers, telecommunications, and other mission-critical environments.

Challenge

In their daily work, company employees handle a wide range of business and technical data, including project documentation, engineering calculations, design materials, technical drawings, equipment layouts, specifications, bills of materials, product manuals, test results, certification documents, and maintenance records. They also work with commercial proposals, price lists, contracts, purchase orders, invoices, reports, correspondence with customers and suppliers, presentation materials, and folders related to current and completed projects. Much of this information is updated regularly and shared between employees, making reliable storage, synchronization, and backup essential for maintaining data availability and protecting important project history.

The main requirements were to:

  • automate tasks according to a schedule
  • use NAS storage for data storage

Operational Considerations

During operation, the company identified an important aspect of folder synchronization. If a file is deleted, renamed, or moved without prior preparation, it may be automatically restored from the synchronized copy.

To prevent this, synchronization is temporarily paused before changes are made to the project folder structure. Once the changes are complete, synchronization is resumed. This approach helps keep shared working directories organized when several employees work with the same files.

Solution Implementation

Business data is stored on individual employee computers and a network-attached storage device. Backup and synchronization are performed using Handy Backup Standard.

Backup
of business files

NAS
storage for backups and files

Folders
one-way and two-way synchronization

This setup made it possible to configure regular backup of business files, synchronization of project folders, and backup storage on a NAS device.

Result

With Handy Backup, the industrial technology company HIDEN gained a reliable backup and synchronization solution for protecting business, engineering, and project data. Documents are backed up automatically according to a schedule, while the latest file versions remain available across multiple working folders used by employees. Centralized storage on the NAS simplifies access to shared materials, including technical documentation, drawings, specifications, contracts, and project files. As a result, the company reduced the risk of data loss, improved collaboration between teams, and ensured that critical information remained available throughout ongoing development, manufacturing, and commercial operations.

Handy Backup helped us reliably protect and synchronize our business data. I had previously tried other software, but I was not satisfied with how it worked. Handy Backup proved to be a better fit for my requirements. In the future, I plan to configure synchronization with cloud storage.
